Additional Information on Contract Terms
Exclusivity Clause
The Client agrees that Fox Haus Event Production shall serve as the exclusive provider of lighting and/or fabric décor for the event and/or project.
This exclusivity does not apply to the following, provided they are not in conflict with services contracted through Fox Haus Event Production:
DJs, bands, and/or the venue supplying uplighting.
DJs, bands, and/or the venue supplying dance floor or effect lighting, including but not limited to moving lights, color washes, or similar effects.
Lighting provided by a tent rental company, including string lighting, flood lighting, or emergency lighting.
Lighting incorporated into a floral vendor’s installation.
Table linens and/or chair coverings provided by the venue, the Client, or a third-party vendor.
Weather & Safety Conditions Clause
In the event that weather conditions, unsafe environments, or disorderly conduct create a risk to Fox Haus Event Production staff and/or equipment, Fox Haus Event Production reserves the right to pause, relocate, modify, or remove services and personnel as deemed necessary to ensure safety.
Under such circumstances, the Client shall not be entitled to a refund, whether partial or full.
Examples of unsafe conditions include, but are not limited to:
Placement of non-weatherproof equipment outdoors without adequate protection from the elements.
Requiring staff to work outdoors without shelter during adverse weather conditions, including rain, snow, wind, extreme heat, or extreme cold.
Flooding in areas designated for equipment placement and/or staff operation.
Event Planners and/or Coordinators
When an event planner and/or coordinator is involved with a Fox Haus Event Production engagement, the following responsibilities apply:
The planner/coordinator is responsible for reviewing the client’s Fox Haus contract in full and acknowledging acceptance of all applicable terms and policies.
The planner/coordinator must review the client’s proposal and promptly notify Fox Haus in writing of any requested or required changes.
The planner/coordinator must review this Terms & Conditions page for additional policies governing Fox Haus services.
The planner/coordinator must disclose any venue-specific restrictions or requirements, including but not limited to load-in, load-out, access limitations, or time constraints. They must inform our requirements for load in and load out to the necessary venue and vendors.
The planner/coordinator must provide all Certificate of Insurance (COI) requirements to Fox Haus in a timely manner.
The planner/coordinator must have explicit authorization from the client to act on their behalf, including approving changes to services, adding or removing items, and approving any additional fees that may apply.
The planner or coordinator must either be present at the start of the installation or available by phone to address any design or placement questions. All requests and preferences must be communicated before or during the installation process. Additional fees will apply if Fox Haus is required to return to make adjustments resulting from a lack of communication or failure to attend the installation.
On-Site Technician Responsibilities & Terms
On-site technicians are responsible solely for Fox Haus Event Production equipment and services. They are not responsible for venue operations or for the responsibilities of any third-party vendors, including but not limited to florists, tenting companies, or other service providers.
On-site technician services include up to five (5) hours of coverage, which begins upon the technician’s arrival on-site, not at the scheduled event start time, unless otherwise specified in the proposal.
Technicians may depart prior to the scheduled end time of the event once all required oversight has been completed. This does not apply if continued on-site presence is specifically noted in the proposal or if the technician is required to operate a specific piece of equipment for the full duration of the event.
Technicians do not remain on-site for after-parties unless expressly stated in the proposal.
If an event schedule prevents a technician from returning to Fox Haus headquarters in Brookfield, Connecticut by 2:00 a.m., Fox Haus reserves the right to require additional fees to cover overnight accommodations at a nearby hotel to ensure technician safety.
A vendor meal must be provided for all on-site technicians.
Depending on the needs of the technician and the venue’s circumstances, the technician may relocate to an alternate room or their vehicle in order to remain non-intrusive to the event space. Technicians will exchange phone numbers to allow for calls or text messages, ensuring assistance is readily available should they need to re-enter the event space.
